Vinyl Training: Final Settlement App

User

  1. Go to vinyl.pgttrucking.com/vinyl in your preferred browser
  2. Navigate to the Applications tab and select Final Settlement
    1. If you do not see this app appearing on your screen, contact Alicia Doro.

 

  1. Once in the app, you can click Sign Off or navigate to the Department Signoff tab. Both options lead to the same page.

 

 

  1. On this page, you will see a list of units that require your approval. To modify a unit’s status, amount or comment, simply click on the appropriate column for that unit and change whatever you need to. Be sure to select Proceed or click the red check mark to the left of the row in order to accept the changes.
    1. If you do not see any units listed:
      1. Either you are not associated with a department, in which case you should contact Alicia Doro
      2. Or you do not have any units to sign off on
    2. NOTE: Once a unit is approved, it will no longer appear in the list if you refresh the page.
      1. If you accidentally approve a unit, you can contact Alicia Doro and she can modify the entry to have it appear back on your list.
      2. If you just want to acknowledge that you are working on getting information for a unit, you can change the status to “Working.”
  2. If you know that a unit has been decerted, but it does not appear on your list, it may be due to a lag in the system. Vinyl will automatically update the decert list every hour.
  3. If a unit remains unapproved, at 10, 30, and 45 days, your department will receive an email reminding you to sign off on the unit.
    1. Units in “Working” status will not be included on the email.
  4. You can then return to the Intranet by clicking the back arrow in the top left of the application window. Note: this is different than the back arrow in the browser window.

 

Settlement

  1. Follow User steps 1 and 2.
  2. Select Settlement View
    1. NOTE: The sign off button will take you to a page that you cannot view, therefore you’ll receive a browser 404 error.
  3. From the Settlement View, you’ll be able to see each unit that was decerted, its overall status, and the status of each department’s signoff.
    1. The top panel of the window is an overview of each unit
    2. The bottom panel of the window is the detail for each unit 

       
  4. As you select different units, the details below will automatically be filtered.
    1. NOTE: You can filter and sort the top panel by either clicking the column header or selecting the filter button in the top right of the panel.
    2. The top panel is sorted by Term Date by default.
  5. You do not have editing permissions, so any changes that you see that may need to be made, contact Alicia Doro.
    1. Units are generally automatically populated into the application. The application will be updated once every hour. If you do not see a unit that should be on the list, contact Alicia Doro.
  6. You can then return to the Intranet by clicking the back arrow in the top left of the application window. Note: this is different than the back arrow in the browser window.
